Office Manager

Once a working dairy farm, Muscoot Farm is an educational farm operated by the Westchester County Department of Parks, Recreation and Conservation, a Nationally Accredited Parks System. Today, Muscoot Farm provides an educative experience for visitors through our historic buildings, a variety of livestock and poultry, public programming and events. In addition, the farm also hosts a number of school and scout groups and a summer camp for students entering grades pre-K through eight.

Position Summary
The Office Manager is responsible for managing group and birthday party reservations, creating and maintaining schedules, and providing outstanding customer service to ensure a positive visitor experience. This role supports the planning and execution of events, leads tours and activities when needed, maintains inventory of supplies, and assists with camp registrations and related paperwork. The ideal candidate is organized, detail-oriented, and comfortable engaging with guests of all ages..
 
Responsibilities
Key responsibilities of the Office Manager:
  • Manage reservations for group visits and birthday parties, including communication with guests and coordination of event details
  • Create and maintain schedules for parties, tours, and activities.
  • Assist in planning and execution of special events and programs
  • Lead guided tours, educational programs, and group activities as needed
  • Monitor and maintain inventory of event and program supplies; place orders as necessary
  • Assist with camp registrations, rosters, and paperwork, ensuring all records are accurate and up to date
  • Provide excellent customer service in person, over the phone, and via email.
  • Collaborate with other staff to ensure smooth daily operations
  • Follow organizational policies, safety protocols, and visitor engagement standards
 
Qualifications
The ideal candidate will have:
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Comfortable speaking to groups of varying ages and sizes
  • Ability to work both independently and as part of a team
  • Basic computer skills, including Microsoft Office or Google Workspace
  • Experience in office management, hospitality, or customer service preferred
  • Flexibility to work weekends, evenings, and occasional holidays as needed
  • Minimum 18 years of age
  • High School Diploma or GED
 
Hours and Compensation
The position of Office Manager is an hourly position. Workdays vary and include weekends, evenings and some holidays. Salary range is $16.60 to $20 per hour; salary is commensurate with experience.
